First you want to make sure you have your document type or categories created to assign your new document to. If you have already done this, skip to the next section below.

Once your document type or categories are created, you should create a new document.

  1. Go to the dashboard
  2. Click on the ‘‘Documents’ label on the left navigation bar
  3. On the left navigation bar, click on ‘Document Types’
  4. Add document type
    • Write a name for the document type
    • Leave the ‘Parent Category’ drop down with the default text of ‘None’.
    • Click ‘Add New Document Type’
    •  This new document type will now be an option in the Parent Category drop down menu.
    • If you want to add a subcategory
      • Write a name for the document type
      • Select the Parent Category by clicking on the ‘Parent Category’ drop down menu.
      • Click ‘Add New Document Type’
      • Subcategories are indented
    • Click ‘Add New Document Type’

Use the document list widget to display documents as a list on a web page. The document list widget allows to list documents by document type.

  1. Navigate to an existing page or create a new page
    • Note: You should know you are on a page when the admin bar on top states ‘Edit page’
  2. Click ‘Edit page’
  3. Enable page builder by clicking on the ‘Pagebuilder’ tab , if there is no option to click on the tab, the pagebuilder layout is enabled.
    • Note: In order to use the document list widget, pagebuilder has to be enabled
    • click page builder
  4. Click on the ‘Add widget’ icon tab
    • add_widget
  5. Add page title by selecting the ‘Page title’ widget
    • Note: You can scroll through the widgets or type in the widget name on the search bar.

  6. Click on the ‘Add widget’ icon tab
  7. Add the ‘Documents list’ widget
    • document list widget
  8. Hover over the document list widget and click edit
    • Add widget title
      • This can be ‘Documents’ if it is a department document page, since the page title widget will display the title as [Department] documents.  For example, The Administration department will have the page title ‘Administration documents’ therefore naming the list ‘Administration documents’ is redundant.
    • Pick the category(ies) to display
      • If the parent category is selected, it will also display all its corresponding  sub categories
    • Select display style
      • Documents are commonly  displayed in the ‘List View’ style but you can always go back and change the style that best matches your ProudCity site.
    • Insert a number of post to show in the ‘Number of post to show’ field
      • Enter 0 for all documents to show  under the selected category type  or select specific amount to list.
    • Pick ‘Sort By’
    • Select sort order, either ‘Ascending’ or ‘Descending’
    • Click done
    • add document list

  9. Click ‘Update’
  10.  Click ‘View Page’ on the top admin bar or  the permalink to view page
    •  Note: To go back into the page admin functionality click on ‘Edit Page’ on the top admin bar.
  11. Finished, your documents will now be listed on the page!

You can list documents by category using Pagebuilder and Document list widget.

  1. Go to the page you would like to add the Document List widget to
  2. Edit page and set to Pagebuilder
  3. Add widget
  4. Select document list
  5. Edit document list widget
  6. Check your desired category(ies)
  7. Select done
  8. Update page
  9. View page

You can embed a document on a page that has Pagebuilder enabled.

  1. Edit page
  2. Enable Pagebuilder
  3. Add widget
  4. Select document embed
  5. Edit document embed widget
  6. In another tab, have the document you would like to embed, for example: https://example.proudcity.com/documents/guide-to-buying-government-websites/
    1. Edit the document
    2. The edit URL will change on the edit screen, for example: https://example.proudcity.com/wp-admin/post.php?post=3706&action=edit
      1. Copy the edit URL (mentioned in the previous step)
  7. Navigate back to the page with the edit document embed widget
    1. Paste edit screen URL, in this case https://example.proudcity.com/wp-admin/post.php?post=3706&action=edit 
    2. Select done
  8. Update page

The standard Microsoft-based Word document (doc, docx) is an acceptable format for most users but differences in versions, fonts, etc. can cause users to have different editing experiences.  To “fool-proof” the appearance of your content, try exporting your document as a PDF.
